Position Description

About the Australian Government’s Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, and bilateral interests.

About the position

The Driver/Administrative Assistant supports post management in the delivery of the Embassy’s administrative services. The position performs driving services, protocol matters, courier duties, administrative tasks and procurement for Embassy staff, officials and visitors. The position is responsible for vehicle maintenance and repairs and provides backup to the Corporate Services Officer -during periods of leave.

The key responsibilities of the position include, but are not limited to:

  • Drive the Ambassador, embassy staff and visitors as required.
  • Assist with the maintenance of the official vehicle fleet, including regular cleaning, refuelling, arranging regular service, insurance, and registration.
  • Maintain vehicle log sheets and store them in their appropriate file location.
  • Manage procurement and liaise with external suppliers under the direction of the Senior Administrative Officer and Corporate Services Officer.
  • Collect and deliver mail and other correspondence.
  • Assist with maintenance of inventories including negotiating with suppliers and arranging delivery and storage of furniture, equipment, and household goods.
  • Assist with the connection of utilities, telecommunication, and other service accounts for Embassy properties.
  • Liaise with government ministries and local authorities on routine protocol matters such as visas, staff residence visas, children visas, driving licences, duty free privileges, VAT refunds, airport passes, diplomatic ID cards and airport facilitation.
  • Assist with incoming and outgoing diplomats’ personal effects and vehicle licence and registration.
  • Prepare diplomatic bag and associated documentation.
  • Retrieve information and respond to written and telephone requests for routine information from the general public.
  • Undertake general administrative duties and other ad-hoc duties as required.

Qualifications/Experience

  • Possession of a valid Ethiopian 3rd grade driving licence.
  • Good knowledge of local roads and traffic systems.
  • An ability to read maps, use GPS equipment and follow directions.
  • Strong capability to provide administrative support, including high attention to detail.
  • High level of proficiency (oral and written) in English.
  • Ability to liaise with a broad range of internal and external stakeholders.
  • Ability to prioritise and meet tight deadlines.
  • High level of initiative and ability to work under general direction.
  • A proven driving experience and safety record.
  • Ability to maintain confidentiality and be discreet.
  • Understanding of Workplace Health and Safety (WHS) principles.
  • Proficiency in Microsoft Office software applications.
